VENUE HIRE TERMS & CONDITIONS

1. BOOKINGS

1.1 A 50% non-refundable deposit is required to confirm your booking. No dates are held without this deposit.

1.2 The remaining balance must be paid in full no later than 30 days before your event date.

1.3 All bookings are confirmed in writing. If you have not received confirmation, your booking is not secured.

2. PAYMENTS

2.1 Your full balance will be due no later than 30 days before your event.

2.2 Extra equipment hire or services booked separately will follow the same deposit and balance due requirements. If items are added during your event then these are deducted from your bond.

2.3 A $500 security bond is required before your event begins. This is refundable after checks are completed. Deductions may be made for:

• Extra time, equipment, or services

• Venue/furniture damage

• Neighbour complaints (music/parking)

• Pack down or excess cleaning (you are to leave the venue as you found it)

• Rubbish sorting or disposal

• Blocked/damaged toilets or vomit clean-up

• Broken glass on road or venue grounds

3. CANCELLATIONS

3.1 All cancellations must be received in writing. Confirmation from us is required for it to be valid.

3.2 Cancellations more than 30 days in advance: 50% cancellation fee (loss of deposit).

3.3 Cancellations within 29 days: 100% of total hire fee is non-refundable.

3.4 Date changes may be offered:

• Over 30 days: $50 change fee (subject to availability)

• 15–30 days: $250 fee (subject to availability)

• Under 14 days: no changes allowed

3.5 Cancelling due to the Terms & Conditions still incurs standard cancellation fees.

4. CLEANING FEE

4.1 The venue (including toilets, kitchen, BBQ area, astro turf and marquee) must be left clean and tidy. You leave the venue as you found it, everything put away in its place, including all rubbish in its bins. We vac and disinfect all surfaces.

4.2 If you do not intend to clean before your vacate time then please either return the next day before 10am for $100 fee. Or book the cleaning on the website.

4.3 If no service is booked and the venue is left untidy, fees will be deducted from your bond.

4.4 All furniture & items must be returned to their original position, and hired items neatly stacked after use. All items you have ‘borrowed’ during your event such as ice buckets, plates, glassware, cake stands etc are to be cleaned and returned to where you got them from.

5. DAMAGES / LOSS

5.1 The venue must be left as found; otherwise, cleaning or pack-down fees apply.

5.2 The owner does not store items before or after events unless arranged. No responsibility is accepted for loss or damage to items left onsite.

5.3 The Hirer is liable for damage caused by guests or contractors and should consider arranging insurance.

5.4 The owner accepts no responsibility for injury or damage caused by the Hirer or their guests.

5.5 If insurance is required for your event, this must be arranged by the Hirer.

5.6 All venue damage will be charged to the Hirer. If the bond is insufficient, the Hirer will be billed for the balance.

5.7 Issues must be reported during the event — not after — to be resolved.

5.8 The Hirer is responsible for keeping the venue secure and free from unauthorised guests during hire.

5.9 Any act that voids or increases the venue’s insurance premiums will be charged to the Hirer.

5.10 Any legal costs resulting from a breach of this agreement will be charged to the Hirer.

6. DECORATIONS

6.1 Confetti, glitter, sparklers, smoke machines, and party poppers are not permitted unless pre-approved and fully cleaned by the Hirer.

6.2 No signs or advertisements may be posted on the property without prior written approval. Welcome signs are permitted at the driveway.

6.3 No tape or adhesives on walls/furniture/Props. Decorations must be removed after the event. Damage will be charged.

7. DAMAGES / EXPENSES

7.1 The Hirer is responsible for all property damage or personal injury during the hire period.

7.2 Damage must be reported immediately. Costs for repairs or cleaning may be deducted from the bond.

7.3 Legal expenses due to Hirer default will be the Hirer’s responsibility.

7.4 If damage costs exceed the bond, the Hirer will be invoiced for the difference.

8. ADDITIONAL SERVICES / FEES

8.1 Full event setup/styling can be arranged at an extra fee (quoted per booking).

8.2 Extra setup time is $100 an hour.

8.3 Extended event time is billed in 30-minute blocks at the agreed hourly rate. Music must be reduced to 50 decibels during this time.

8.4 A full venue pack-down service is $250 if the venue is not left clean and reset. Make sure everything is back in place before requesting your bond be returned as deductions will apply.

8.5 Additional staff (e.g., host, bar, MC, planner, photographer) can be arranged at additional cost.

9. INCLUSIONS

9.1 Outdoor furniture is included (bar tables, wine barrels, stools, pallet seating). Seating for approx. 70.

9.2 Plastic tables/chairs & for the marquee are available if not otherwise booked through our party hire business.

9.3 Full access to the venue includes from the astro turf area, inside and outside spaces, kitchen, and bathrooms.

9.4 Lolly carts, decor, and extra items may be offered free of charge subject to availability

9.5 Bathrooms include 4 toilet & hand-wash. Kitchen includes fridges, freezer, microwave, hot water urn & pie warmer.

9.6 BBQ included. Heaters available for $30 each (includes gas). Please request in advance.

10. ACCESS TO VENUE

10.1 Access is only during booked times, including for vendor arrivals. If you require more time please book this in.

10.2 Early access or late departure is to be booked at the hourly rate, if you’re event is 3 hours and you require an hour to set up and an hour to pack down then please book 5 hours.

10.3 Late vacate is billed in 30-minute blocks at $250 per hour. If you’ve paid until 11pm on Saturday night and you still have guests on premises until midnight then $250 is deducted from your bond.

10.4 Venue must be vacated at the specified time. Delays will incur bond deductions.

10.5 A venue host is available next door during your event. They will not come down to your event unless requested by you other than if any breaches are made (parking, music etc) Please ensure you have everything in place before your event.

11. FOOD / BEVERAGE / VENDORS

11.1 All catering is BYO. Electrical appliances over 10 amps are not allowed.

11.2 If power is tripped by unapproved equipment, do not plug in again. The owner is not responsible.

11.3 All electrical items must be listed and approved beforehand or they may be refused on the day.

11.4 Caterers must be self-sufficient. We offer power and a cold tap, and space for food trucks. Approval is required.

11.5 Vendor names and schedules must be submitted ahead of time to avoid overlap with other events.

11.6 Leftover food/drinks will be bagged up and placed aside after 10am the following day if not removed by the Hirer.

12. ENTERTAINMENT

12.1 Music is limited to 70 decibels.

• Sunday–Thursday: Music off by 9pm

• Friday–Saturday: Music off by 11pm

• No added time for music after these limits (if we allow in writing for you to stay later then this does not include music)

12.2 Our speaker (Evolve 30m) is Bluetooth-connected. Only our team may adjust its volume and change settings, music will be turned off by our team if this is tampered with. As seen on our website and advertised ‘this is not a loud music venue’ so is not suited for you if this is important to you. We advise you to book elsewhere.

12.3 No extra speakers permitted. Bond loss will occur if you bring your own speaker.

12.4 DJs are not permitted unless booked before 5 Nov 2023 and approved in writing. DJ must receive and agree to our terms and conditions and also pay their own bond or the event may be cancelled.

12.5 Tampering with our system may result in event shutdown or bond loss. REMINDER – Music system is on a timer and will shut down 11.10pm Fridays/Saturdays, 9.10pm Sundays to Thursdays.

13. SMOKING

13.1 The beer garden and marquee are non-smoking areas. Smoking/vaping here risks bond loss.

A designated smoking area is available on the driveway with ashtrays provided. Do not dispose of cigarette butts on the Astro turf.

14. SECURITY

14.1 Events such as 18th or 21st birthdays may require a security guard at the Hirer’s expense, unless 10+ adults over 30 will remain until closing.

15. PARKING

15.1 Limited legal parking is available in front of the venue. Please do not block access to neighbouring businesses to avoid fines. Bond loss if we receive complaints.

15.2 We recommend free parking at Virginia Train Station, a 2-minute walk from the venue.

16. RUBBISH DISPOSAL

16.1 Two large general waste bins and two small recycle bins are provided. Milk crates are placed around for bottles/cans also.

16.2 Excess rubbish must be removed by the Hirer. This includes packaging like beer carton boxes. All rubbish is to be removed from floors and surfaces by the hirer.

FINAL TERMS & ACCEPTANCE

Lovely Jubbly Party Hire reserves the right to cancel any agreement for venue hire in the case of extreme necessity. Any paid hire fees will be refunded.

The owner may also cancel an event if it is believed the function could impact business operations, safety, or reputation. In such cases, the Hirer bears the loss.

We reserve the right to make changes to furniture, fixtures, and venue layout at any time.

By paying the deposit, you acknowledge and agree to abide by these Terms & Conditions.
